How to forward emails to a colleague when I’m on holiday based upon a date range
Posted on 10 January 2024 by Beaming SupportHere is a simple step-by-step guide to help you set up email forwarding on OWA, for on-premise exchange customers only:
Step one
Open up your Outlook and click ‘file’ in the top left-hand corner.
There will be a link under ‘Account Settings’. Access this account on the web and sign in with your domain credentials (same as your computer logon: [domain]\ username).
Step two
Click on the ‘Settings’ button in the top right-hand corner, which looks like a cog. Then, click ‘Options’.
Step three
Expand ‘Mail’.
Under ‘Mail’, click ‘Inbox and sweep rules’. In the main area, click on the ‘+’ to add a new rule.
Step four
Select the dropdown, ‘When the message arrives, and it matches all of these conditions’. Choose ‘it’s received within a specific date plan’. Then, select the dates required.
Step five
Select the dropdown, ‘Do all of the following’.
Select your preferred option. In this example, we will be selecting ‘Forward, redirect or send’.
You need to then select ‘Forward the message to…’.
Step six
Select the email that you wish to forward your emails to.
Then, click ‘save’ at the top of the pop-up. Hit ‘OK’ to finalise the rule.
You have now just set a simple forward rule between two dates.
There are lots of other options at your disposal, here are some examples of what you can configure:
- You can forward all mail from a specific address to another address.
- If an email is marked as company confidential, you can then set Outlook to auto-sort the message into a custom category, for example, ‘Confidential’.
- You can set the rule to mark messages as important, for example all messages from your boss could be marked as important.

Once you have logged in with your email address and password, proceed to the ‘settings (cog)’ button in the top right-had corner of the webpage.
Once in settings, there are multiple avenues to explore here.
However, you can head straight to ‘Rules’ and configure a rule, in a similar way as mentioned above.
For forwarding:
- Name the rule to something appropriate. For example, “Annual leave forwarding”.
- Then set-up the conditions. Select ‘Apply to all messages’ and add two more conditions with the dates for which the forward should be applied from and to. (‘After’ and ‘Before’).
- Then ‘Add an action’, ‘Forward to’.
- Add the desired forwarding address.
- Click on ‘Save’.
