Choosing the Right Backup Solution

Cloud Sync options vs On-Premise backup solutions

Posted on 26 March 2025 by Rachael White

When it comes to protecting your valuable data, the choice between cloud-based solutions like Microsoft OneDrive/SharePoint and dedicated on-premise backup servers is crucial. Find out the strengths and weaknesses of each approach and also compare the differences between Cloud sync and on-premise backup solutions.

Cloud-Based Sync (e.g Microsoft OneDrive/SharePoint)

It is important to state that Cloud-Based Sync services are not technically classed as a backup, as they are primarily designed to keep files consistent across multiple devices, this means the software updates files across devices in real-time. If a file is changed, added, or deleted on one device, the same happens everywhere else.

Advantages:

  • Accessibility: OneDrive and SharePoint offer constant access to your files, provided you have an internet connection. Microsoft, as a global organisation, ensures the security and maintenance of your data in the cloud.
  • Built-in Data Protection: Microsoft 365 includes basic data protection features such as version history, recycle bins, and geo-redundancy, storing data across multiple data centres for enhanced reliability.
  • Personal and Collaborative Capabilities: OneDrive allows users to “back up” personal files, while SharePoint facilitates collaborative document management and efficient teamwork.
  • Cost-Effectiveness: Included in Microsoft 365 subscriptions, making it a budget-friendly option for many businesses.

Disadvantages:

  • Limited Backup and Recovery: OneDrive/SharePoint does not provide a comprehensive backup solution. Deleted or overwritten data is typically retained for a limited period (30-93 days) before permanent deletion.
  • Restoration Limitations: Unlike dedicated backup solutions, restoring files beyond the limited retention period is not possible.
  • Basic Safeguards: While offering basic protection, Microsoft 365 lacks the advanced recovery options of dedicated backup systems.
  • Dependence on Internet Connectivity: Access and synchronisation require a stable internet connection.
  • Scalability Concerns: May not effectively handle the backup needs of large enterprises.

On-Premise Backup Server

An on-premise backup creates a secure, independent copy of your files for protection against data loss. These solutions typically work in the background to periodically save copies of your files, there are also different polices you can set in place for data retention and can of course be tweaked to your particular organisational requirements.

Advantages:

  • Data Control: Full ownership of data, stored onsite within the organisation.
  • True Backup Solution: Dedicated backup capabilities with versioning and protection against accidental deletions or ransomware.
  • Compliance: Better suited for industries requiring strict data sovereignty and regulatory compliance.
  • No Recurring Fees: After the initial investment, there are no ongoing subscription costs.
  • Offline Access: Data remains accessible even during internet outages.

Disadvantages:

  • Upfront Costs: Significant investment in hardware, software, and setup.
  • Maintenance: Requires IT expertise for updates, troubleshooting, and hardware upkeep.
  • Limited Scalability: Expansion involves purchasing additional equipment.
  • No Real-Time Collaboration: Designed for backup and recovery, not collaboration.

Conclusion:

The ideal backup solution depends on your organisation’s specific needs, budget, and priorities. Carefully evaluate the advantages and disadvantages of each approach to determine the best fit for your data protection requirements. For support with keeping your data secure, please contact us.
